Administrative Assistant

Job Overview: The Administrative Assistant will provide support to the Head Broker and high-level support to Fiorelli Realty Agents. This role requires exceptional organizational and communication skills, as well as proficiency in managing multiple tasks simultaneously. The ideal candidate will be responsible for managing calendars, emails, and calls, as well as assisting with real estate paperwork, financials, and other administrative tasks. The Administrative Assistant will play a crucial role in ensuring the smooth operation of day-to-day activities within the office.

Key Responsibilities:

  • Calendar & Schedule Management: Coordinate and manage the calendar of the Head Broker, scheduling meetings, property showings, and other appointments.

  • Email & Call Management: Screen and respond to emails and phone calls, ensuring timely responses and follow-ups, redirecting inquiries as needed.

  • Real Estate Paperwork: Assist with the preparation, review, and filing of real estate documents, including contracts, leases, listings, and client agreements.

  • Financial Management Support: Assist with the preparation and management of financial documents, including tracking commissions, expenses, and other financial records.

  • General Administrative Support: Handle day-to-day office tasks, including filing, scanning, data entry, and managing office supplies.

  • Transaction Management: Assist in managing transactions from start to finish, ensuring all necessary paperwork is completed and deadlines are met.

  • Team Collaboration: Work closely with the Head Broker and sales team to support business operations, client needs, and other administrative duties as needed.

Qualifications:

  • Previous administrative experience, preferably in real estate or a similar industry.

  • Strong organizational skills and ability to manage multiple tasks simultaneously.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace and CRM software.

  • Excellent verbal and written communication skills.

  • Ability to work independently.

  • Detail-oriented, with strong problem-solving skills.

  • Ability to maintain confidentiality and manage sensitive information.

  • Experience with real estate paperwork, contracts, and financials is a plus.

Compensation:

  • $16.00-$19.00/hr

  • 1099 employment
